Multiple Organisations Sharing a Single Active Directory Domain

An alliance of local government organisations working in partnership needed to integrate 10,000 user identities stored in three incompatible HRM systems with a single AD domain. 

Licensing cost for a single HRM system were prohibitive, as was the cost of the HRM vendors’ AD interface. Furthermore, each organisation used AD attributes differently, meaning a single approach was inappropriate. The organisations faced significant financial constraint and time pressure to being working in alliance.

We delivered an interface that synchronises identities in the HRM systems with AD, accounting for the different ways each organisation used AD. The interface creates, updates and deletes user accounts to match the source HRM system, and delivers some role-based configuration.

The interface took six week to build and cost far less than either a commercial off-the-shelf identity management system or changes to the source HRM systems. The interface has run continually for over five years without problems, and has easily evolved with the changing requirements of the organisations over time. The interface has required almost no administrative effort and hence has removed work previously undertaken by a a full-time employee. 

Public Library Service integrating borrower identities with public PCs

The SirsiDynix Symphony Library Management System (LMS) was selected by a County Library Service despite it's lack of a native Active Directory interface. This was a problem because borrowers defined in the LMS could no longer use publicly accessible Library PCs.

We provided an interface that synchronises identities in the LMS with the Active Directory that supports the public library PCs. 

As a consequence, new borrowers have accounts automatically created in AD enabling them to use public computer and related services almost immediately. Changes to borrower details are also kept up to date in AD. 

The interface took three weeks to build and helped the service deliver on a service obligation where no other technical solution was available.

This interface has run successfully for over three years, serving an AD of nearly 500,000 users with a daily churn of over one thousand accounts. 

Our interface has enabled our customer to continue to deliver upon their service commitment, and avoid employing a full-time staff member dedicated to the low-value task of manually creating AD accounts.

Large Organisation meets compliance objective by automating account life-cycles

A large organisation that operates in a regulated industry contacted us to help them comply with an industry regulation. The client required a method of disabling inactive accounts in a manner that was both compliant but acceptable to their users. 

Non-compliance was a threat to their business as it would require their disconnection from a range of national shared services upon which their business depended. The organisation had over 30,000 users with many divisions and locations. The organisation relied upon temporary staffing and had a considerable churn of users.

We built a compliant and acceptable process to automatically identify and disable inactive user accounts. We built integrations with the HRM system to automatically process long-term absent staff, joiners and leavers. We built integrations with Email systems to automatically notify managers of inactive accounts, and with IT Service Desk systems to raise tickets to re-enable accounts when required again.

Our client was delighted with their solution. They met their compliance target and removed the associated risk from their business. They avoided the alternative having their Service Desk perform the task manually, which saved the cost of a full-time post.

Organisation cuts costs and improves services by automatically fixing data quality issues

An organisation that was struggling with cost and complexity in AD contacted us to help them improve their service quality and make savings.

Poor quality and inconsistent data in AD had created an unmanageable load on their IT Service Desk, and every ticket was requiring a bespoke approach to fixing. The organisation’s users perceived the service quality as poor, and the IT Department was considering hiring contract staff to manually cleanse their data.

Instead, we built a solution to automatically identify and correct poor quality data in AD. Simple data quality problems are fixed automatically in standardised ways. The solution is also used by Service Desk for ad-hoc reporting to identify emerging data quality problems and build fixes that can be applied to the estate in a single operation.

As a consequence, our client improved the the quality of their AD data, reduced subsequent Service Desk calls and improved the quality of IT service provision for their users. They avoided the cost of hiring contract staff. Their solution continues to grow with them to meet emerging requirements and changes to their business whilst avoiding any additional cost.
